Royal BAM at a glance

Royal BAM Group is a European construction firm of roughly 21,000 employees, delivering thousands of projects a year across construction, property and civil engineering, and active in public-private partnerships.

BAM moved to Microsoft 365 on a cloud-first strategy built around employee autonomy. The open question was how to keep that openness under control as collaboration grew.

A cloud-first estate built on autonomy

Royal BAM started its cloud journey about six years ago. The cloud-first strategy was to give employees as much autonomy as possible with the Microsoft 365 services available to them.

As collaboration grew, so did the question every enterprise reaches eventually: how do you keep an open environment open, and still stay in control of it.

Open collaboration at construction-group scale

BAM wanted a self-service approach to Microsoft 365 that let business users find the tools to do their jobs, with controls that held cost, security, compliance and service delivery in place. Keeping that balance got harder as the estate grew.

  • Scripts cost time and people Building the scripts took resources, and once the data was ready it still had to be turned into insight and acted on.
  • It would not hold at scale DIY scripts plus manual process were not going to survive the size the estate was heading for.
  • It needed a business case Whatever BAM chose had to be cost-effective enough for senior management to sign off.

One consistent view of the whole tenant

Looking at the market, Rencore Governance was the tool that gave a complete and consistent overview of all the data in the tenant, from a vendor whose product direction followed its customers.

A return that arrived in the first year

BAM collected use cases from multiple stakeholders and built a business case around cost, security, compliance and proactive service delivery. The first priority was savings it could point at.

Procurement saw them straight away. Rencore Governance flagged disabled users who still held licences. Redistributing, revoking and cleaning those up cut BAM's overall licence count by 15%, which covered the first annual cost of Rencore Governance on its own.

The second priority was time. Identifying OneDrive storage limits and automating the response stopped folder synchronisation problems before they turned into helpdesk tickets.

The use cases kept arriving

Rising SharePoint Online storage cost was the next problem. BAM tuned the prebuilt policies to find its largest sites unused over the previous seven months, ran them, and automated the preparation of those sites for archiving. Storage purchasing slowed from 20TB a quarter to 20TB every four to five months, a 33% reduction and slow-down in capacity.

BAM also sells parts of the business once construction completes in a country. Working out which data moves, how many guests are in the tenant, who has access and who owns the content is normally a project in itself. BAM built ten compliance policies for that migration pattern in about 20 minutes, then exported and re-imported them per organisation. The buying party gets tenant-to-tenant migration data on demand, and the merchant acquisitions team can budget the carve-out properly.

What Royal BAM ended up with

BAM kept the open, self-service Microsoft 365 estate it wanted and gained the control to run it. All service data sits in one place, decisions are made against defined policies at scale, and the return kept compounding as new use cases surfaced across the organisation.
