Oversharing
Oversharing in Microsoft 365 is the condition where files, sites or workspaces are accessible to more people than the business intends.
Also known as: data oversharing, excessive sharing, permission sprawl
How it happens
Oversharing rarely comes from one bad decision. It builds up as people share to get work done: "Anyone" links, organization-wide links, broken permission inheritance, the "Everyone except external users" claim granted on a site, and guests whose project ended long ago. A document set up for one team quietly becomes readable across the tenant.
Why Copilot makes it urgent
Microsoft 365 Copilot works with the permissions of the person who prompts it. Anything that person can technically open, Copilot can find and summarize, even if nobody ever meant them to see it. Content that was overshared but hard to find becomes easy to find.
That is why oversharing is the first thing to fix before a Copilot rollout. Finding and closing broad access first keeps Copilot from surfacing what nobody meant to share.
Where Rencore fits
Rencore finds oversharing across SharePoint, OneDrive and Teams: files shared anonymously or with inactive guests, broken inheritance and broad groups on sites. Owners confirm or remove access in access reviews, and automations remove sharing links or restore inheritance at scale.
