License optimization

License optimization is the ongoing practice of matching Microsoft 365 and Copilot license assignments to actual use, so that active users have the right tier and inactive, disabled or duplicate assignments stop consuming paid licenses.

Also known as: license management, license rightsizing, unused licenses, license reallocation

Where the waste hides

The usual findings repeat across tenants: licenses assigned to disabled accounts and to people who have not signed in for months, users holding two plans that overlap, premium tiers given to people who only use email, guests with paid licenses and purchased seats that nobody was ever assigned. Copilot licenses add a new and expensive category to watch.

Making it continuous

A yearly true-up finds the waste after it has been paid for. Checking assignments continuously, tying license removal to the leaver process and reassigning seats from inactive users before buying new ones turns optimization into routine operations.

Where Rencore fits

Rencore policies flag licenses assigned to disabled, inactive and external users, over-licensed accounts, unused licenses and seats, E3 users who have not used Outlook in twelve months, and Copilot licenses on disabled accounts or held by users inactive for 30 days. Reports show the unassigned Copilot license pool and Copilot cost by department, and an action removes license subscriptions.
