Naming policy

A naming policy is a rule set that standardizes the names of Teams, Microsoft 365 groups and sites, typically through prefixes, suffixes and blocked words, so that workspaces are consistent, findable and appropriate.

Also known as: naming convention, group naming policy, naming standards

What a naming policy defines

Common elements are a prefix or suffix for the department, region, project or workspace type, a list of words that may not be used, such as CEO, HR or Payroll in a public Team, and length or character rules. Microsoft Entra ID offers a group naming policy that applies prefixes, suffixes and blocked words to Microsoft 365 groups and therefore to Teams.

Why names matter

Names are what users search for, what Copilot sees in its answers and what administrators sort by. Inconsistent names lead to duplicate Teams, misleading names can make a public Team look official, and names that reveal confidential projects can leak information through the directory.

Where Rencore fits

Rencore policies flag Teams that use forbidden or misleading words in their display name and Teams that use prohibited words in their name or description, and an action changes a Team's title.
