Teams sprawl
Teams sprawl is the uncontrolled growth of Microsoft Teams, channels and the Microsoft 365 groups behind them in a tenant, leading to duplicate workspaces, missing owners and governance, security and compliance risk.
Also known as: Microsoft Teams sprawl, workspace sprawl, M365 sprawl
How it happens
In a default tenant any user can create a Team in seconds, and every Team also creates a Microsoft 365 group, a SharePoint site and a mailbox. Teams are made for a meeting, a project or a test and then left behind. Private and shared channels add more sites. Nobody deletes anything, because nobody is sure what can go.
What it costs
Users struggle to find the right Team and create another one. Owners leave and their Teams become orphaned. Guests stay members long after the project ended. Storage grows, and Copilot draws on all of it, including outdated and duplicated content.
The fix combines a controlled way to create Teams with a regular way to retire them, so that growth and cleanup stay in balance.
Where Rencore fits
Rencore provisions Teams from templates with approval and flags inactive Teams, Teams with very few users, Teams without owners and Teams with many channels or private channels. Automations archive unused Teams, directly or after an approval, and can email their owners first.
