Sharing links

Sharing links are URLs created in SharePoint or OneDrive that grant access to a file or folder, either to anyone with the link, to people in the organization or to specific people.

Also known as: Anyone links, expiring sharing links, file sharing links

The link types

An Anyone link works for whoever holds it, without signing in, if the tenant allows it. A People in your organization link works for every internal user who has the URL. A Specific people link works only for the named recipients, inside or outside the company. Each can grant view or edit rights, and administrators can set default link types and expiry periods.

Why they need governing

Links are the easiest way to share and the hardest to keep track of. They bypass the site's groups, accumulate on every file people collaborate on and rarely expire unless a policy says so. Organization-wide links make files discoverable by Copilot for every employee, and Anyone links can travel outside the company without leaving a trace of who opened them.

Where Rencore fits

Rencore inventories file sharing in SharePoint and OneDrive and flags files shared with external users and with inactive external users, and OneDrives with externally shared files. Actions remove a sharing, and an automation reminds OneDrive owners of the files they share externally.
