Workspace ownership

Workspace ownership is the assignment of named, accountable owners to every Team, SharePoint site and Microsoft 365 group, usually with a minimum of two owners and a regular confirmation that the owners are still right.

Also known as: minimum owner policy, two-owner policy, ownership attestation, owner reassignment

What owners are responsible for

Owners add and remove members, approve guests, answer access reviews, decide about sharing and decide when the workspace should be archived. In practice they are the only people who can say whether a workspace and its content are still needed, which is why governance relies on them.

Keeping ownership current

Two practices keep ownership from eroding. A minimum owner rule, often two owners per workspace, means one departure does not leave it orphaned. Ownership attestation asks owners at regular intervals to confirm that they are still responsible, and reassigns ownership when they are not.

Where Rencore fits

Rencore policies flag Teams without owners or with fewer than two, groups with very few owners, SharePoint site collections with fewer than two owners and shared channels without owners. Automations email owners, actions add or remove owners on Teams, groups and site collections, and access reviews ask reviewers to confirm who has access.
