Take control of OneDrive

Rencore inventories every OneDrive with its owner, quota, files, folders and sharing. Policies find files shared with external users, drives of disabled accounts and drives close to their limit, and an automation can remove the sharing.

OneDrive holds company data that no one inventories

The questions are the ones you already ask of a Team or a SharePoint site: who owns it, who can reach it, what it costs, and who cleans it up when the owner leaves.

Who it is shared with

Files and folders in a OneDrive are shared with people outside the company. The owner knows about their own links, and nobody sees them all.

Whose it is after they leave

A OneDrive linked to a disabled account is an orphaned data repository. It consumes storage and can hold sensitive files that nobody oversees.

What it costs

Drives near their storage limit and drives above 100 GB add to the storage bill, and the owners often learn of it last.

What AI can draw on

Files untouched for five years take storage and can lower the accuracy of AI answers that draw on them.

What Rencore sees and does in OneDrive

Every OneDrive, its owner and its sharing, in one inventory

Rencore scans OneDrives and relates each one to its owner in Entra ID. Files, folders and file sharings sit in the same inventory, next to the SharePoint sites and Teams of the same people.

  • OneDrive accounts with owner, quota, space used and remaining, recycle bin size, file and folder count and geo location
  • Four object types: OneDrives, files, folders and file sharings, each file sharing with its sharing information
  • Scanned daily by default, with weekly, bi-weekly, monthly or never as options
  • Findings are as fresh as the last scan

External sharing found by policy, removed by automation

Two policies cover the sharing question from both ends. One lists the OneDrives that contain at least one externally shared file, the other lists the files themselves.

  • OneDrive contains at least one externally shared file, and OneDrive file is shared with external users, both rated Medium under External Access
  • The action Remove document sharing, available on file sharings, files and folders, rated High criticality
  • An automation that reminds OneDrive owners monthly about files shared with external users
  • An automation that sends one email per OneDrive owner, addressing the owner by name

Leavers' drives, full drives and old files before they cost

A policy per question, each with a severity and a category, so you rank OneDrives by risk and cost.

  • OneDrive belongs to a disabled user account, and OneDrive contains files from disabled user accounts, both rated Medium under User Offboarding
  • OneDrives near storage limit (more than 90% used, rated High) and Large OneDrive Sites (more than 100 GB, rated Medium), both under Costs
  • OneDrive file is older than 5 years, rated Medium under Response Accuracy
  • An automation that emails OneDrive owners once their OneDrive passes 90% of its storage limit

Where OneDrive coverage stops

What Rencore does with OneDrive today, and what stays with Microsoft.

One remediation action

The action Rencore has for OneDrive is Remove document sharing. Reassigning or archiving a leaver's OneDrive is a decision the policy surfaces and your team carries out.

Detect and remediate, not block

Rencore does not block downloads or sharing at the platform level. It finds what is shared and removes sharing after the fact.

Scan-based, not real time

Findings come from scans, not from a live feed. A policy that runs after a scan is as current as that scan.

No retention or eDiscovery

Retention, records management and eDiscovery stay with Microsoft Purview. Rencore does not provide them.

OneDrive questions, answered

What does Rencore inventory in OneDrive?

OneDrive accounts with their owner, quota, space used, recycle bin size, file and folder count and geo location, plus the files, folders and file sharings inside them. Each OneDrive is related to its owner in Entra ID.

Can Rencore remove external sharing?

Yes. The action Remove document sharing works on file sharings, files and folders, and is rated High criticality. It runs inside an automation, which can start from a policy violation, on a schedule or by hand, and can ask for an approval first.

What happens to a OneDrive when its owner leaves?

Two policies find it: OneDrive belongs to a disabled user account, and OneDrive contains files from disabled user accounts. They list the drive with its owner, library URL and quota. What to do with the drive, reassign it to a manager or archive it under your retention rules, is your team's decision, because Rencore has no reassign or archive action for OneDrive.

Do the OneDrive and SharePoint admin centers already cover this?

They cover sharing settings and storage limits for each tenant, user or site, and Microsoft Purview covers retention and eDiscovery. Rencore complements them and does not replace them. What Rencore adds is a policy for each question with a severity and a trend, the relation of every OneDrive to its owner in Entra ID, and automations that notify owners and remove sharing, in one control plane with Teams, SharePoint and Exchange.

How is OneDrive coverage licensed?

OneDrive is part of the Digital Workplace module, together with Teams, SharePoint, Exchange, Viva Engage, Planner and Entra ID. The pricing page has the full plan comparison.
