Copilot governance

Copilot governance is the set of policies, permission controls, monitoring and compliance measures an organization applies to Microsoft 365 Copilot to prevent oversharing, control cost and keep its use of company data secure.

Also known as: Microsoft Copilot governance, Copilot usage guidelines, Copilot best practices

What needs governing

Copilot answers with whatever the signed-in user can open. The main risk is therefore old access, rather than Copilot itself: sites shared with everyone, broken permission inheritance, missing sensitivity labels and content nobody owns. Copilot makes that access easy to find.

The second topic is cost. Copilot licenses are expensive, so organizations track who uses them, reassign seats from inactive users and watch the pay-as-you-go spend of agents.

Before and after rollout

Before rollout, governance means fixing the riskiest access and labelling sensitive content. After rollout it becomes a routine: watch usage and adoption, review new agents and their data sources, and keep the tenant from drifting back into oversharing.

Where Rencore fits

Rencore reports Copilot usage by application, sessions by department and region, active and unassigned Copilot licenses and monthly cost by department. Policies flag Copilot licenses on disabled accounts, users inactive for 30 days and external website data sources, while SharePoint policies flag the broken inheritance, external sharing and missing labels that Copilot would surface.
