Glossary
ROT content
ROT content is redundant, obsolete or trivial data: duplicates, outdated versions and files with no business value that stay in storage long after anyone needs them.
Also known as: redundant, obsolete and trivial content, stale content
Where it comes from
ROT builds up in every tenant: copies of the same file in several sites, endless version histories, project folders nobody closed, and workspaces that went quiet years ago. Without retention rules or owners who clean up, nothing leaves.
Why it matters now
ROT costs storage, and SharePoint storage beyond the tenant's allowance is billed. It also hides risk: sensitive files in forgotten sites are still shared the way they were years ago. And it misleads AI. An assistant grounded on outdated policies or old price lists answers confidently from them.
Reducing ROT before an AI rollout improves answer quality and shrinks what an assistant could expose.
Where Rencore fits
Rencore flags inactive SharePoint sites and Teams, shows storage use per site, and its automations archive sites, remove old file versions or set storage quotas, so stale content is retired rather than kept by default.
