SharePoint sprawl
SharePoint sprawl is the uncontrolled growth of SharePoint sites, Microsoft Teams and their storage, faster than an organization can govern them.
Also known as: workspace sprawl, Teams sprawl
Why it happens
Sprawl is the predictable result of self-service provisioning without lifecycle rules. When any user can create a site or a Team in seconds and nothing retires them, the tenant fills with duplicated, abandoned and ownerless workspaces. Every Team brings a SharePoint site and a Microsoft 365 group with it, so the count grows on several fronts at once.
What it costs
Every ungoverned workspace is another place for oversharing to hide, another owner to track down and another line on the storage bill. It also feeds AI: stale content in forgotten sites is still content Copilot can find.
Controlling sprawl means attaching an owner, a purpose and an end date at creation, then reviewing inactive workspaces on a fixed cadence and archiving or deleting what is no longer needed.
Where Rencore fits
Rencore provisions Teams and sites from approved templates with owners and metadata, flags inactive and ownerless workspaces, and runs renewal reviews in which owners keep, archive or delete them.
