SharePoint governance
SharePoint governance is the system of policies and processes that keeps a SharePoint Online environment usable, owned and safely shared, covering information governance, operations, access and clutter.
Also known as: SharePoint policy management, SharePoint Online governance
What it covers
SharePoint holds the files behind Teams, OneDrive sharing and most intranets, so its governance spans several areas. Information governance decides how content is classified, labelled and retained. Operations covers site creation, hub structure, storage quotas and limits. Access covers owners, permissions, sharing links and external sharing. Clutter covers inactive sites and files nobody needs.
Why it is harder than it looks
Permissions in SharePoint can be set on a site, a library, a folder or a single file, and every sharing link adds another grant. Over years, a site's real access drifts far from what its owners think it is. That gap is what Copilot exposes, which is why SharePoint governance has moved up the agenda.
Where Rencore fits
Rencore policies flag SharePoint site collections without owners or with fewer than two, sites with broken permission inheritance, site collections without a sensitivity label, files shared with external users, sites near their storage limit and sites inactive for more than 90 days. Automations archive sites or set them to read-only, with approval where you want it, and access reviews cover site collections.
