Workspace archiving
Workspace archiving is the process of retiring a Team or SharePoint site from active use while keeping its content, either by making it read-only or by moving it to lower-cost archive storage.
Also known as: Team archival, site archival, archival workflow, Microsoft 365 Archive
The options in Microsoft 365
Archiving a Team in Teams makes its channels read-only and hides it from the active list, while the content stays in place and can be restored. A SharePoint site can be locked to read-only. Microsoft 365 Archive, a paid add-on, moves whole sites to cold storage where they no longer count against the tenant's storage quota and must be reactivated before use.
When to archive
Archiving suits workspaces that are finished but must be kept, for example for legal retention or reference. It is usually the middle step between inactivity and deletion, and it works best when the owner is asked first and the decision is recorded.
Where Rencore fits
Rencore automations archive Microsoft Teams and SharePoint sites, or set sites to read-only, either directly or after an approval, and can notify owners before acting. Archived Teams appear in their own report, and an action unarchives a Team when it is needed again.
