Inactive sites and Teams

Inactive sites and Teams are SharePoint sites and Microsoft Teams with no meaningful activity for a defined period, such as 90 or 180 days, that remain in the tenant with their content, members and sharing intact.

Also known as: inactive Teams, dormant Teams, stale workspaces, inactive site policy

How inactivity is measured

Activity usually means file views and edits, messages, meetings and page visits. The threshold depends on the type of workspace. A project Team may be finished after three months of silence, while an archive site is meant to be quiet. A good inactivity rule therefore looks at the workspace's purpose as well as the date of the last activity.

What to do with them

The usual path is to ask the owner first, then archive or set the workspace to read-only, and delete it after a retention period. Leaving inactive workspaces in place keeps their guests, their sharing links and their outdated content available to search and to Copilot.

Where Rencore fits

Rencore flags inactive Teams, SharePoint sites inactive for more than 90 days and unused site collections larger than 1 GB, and reports unused sites. Automations email the owners, archive unused Teams and archive SharePoint sites or set them to read-only, with approval where you want it.
