The problem
Access in Microsoft 365 grows until someone reviews it
Every team, site, flow and app in your tenant carries its own list of users and groups who can reach it. The list gets longer with every new member and guest, and it only shrinks when someone checks it.
Access outlives the reason it was granted
Members, visitors and guests keep their access long after the work that justified it ends. Nobody removes a permission they never see, so the audience for every site, team and flow keeps widening.
Only the owner knows who still needs what
Whether a colleague still needs a team, a site or a flow is a call only its owner can make. Central IT sees the permission, not the reason behind it, so stale access stays in place.
Manual reviews stall and leave no record
A permissions check run by hand has no deadline and no completion record. Reviews slip, and nobody can see which ones are still outstanding.

Microsoft 365 access review FAQs
What is a Microsoft 365 access review?
An access review is a scheduled check of who can reach a piece of content, sent to the person who owns it. IT builds the review over the users and groups with access across Microsoft 365, Teams, SharePoint, Power Automate and Power Apps, then shares the report with the content owners. The owners decide what to update for the content they own, so permissions get corrected by the people who know the context.
How is this different from Microsoft Entra ID access reviews?
Entra ID access reviews cover group and application membership. Rencore Governance complements them by reviewing access to the content itself: SharePoint sites and files, Teams, Power Automate flows and Power Apps. Each review is routed to the owner of that object rather than to a central admin.
Who completes an access review, and how is it tracked?
The owner of the content completes it. You set a deadline in days and choose the review scope, which can cover owners, members, visitors, site access and file access. Rencore Governance tracks the completion rate for each review, so IT can see at a glance which reviews are still outstanding.
How do I set up an access review?
Start from the Access Review Template Gallery, which carries predefined reviews for each service, or from a blank template. In the builder you choose a one-time or recurring trigger, the objects in scope, the deadline, the approval step and the notification emails. Every template is fully customizable.
