The risk of uncontrolled Microsoft 365 collaboration

Teams sprawl and guest user risk

Without governance, Microsoft Teams environments accumulate inactive teams, unused channels, and lingering guest users. This clutter not only disrupts collaboration but also increases the risk of unauthorized access and data exposure.

SharePoint and OneDrive oversharing

Unmonitored sharing across SharePoint and OneDrive can lead to excessive permissions, outdated content, and uncontrolled data access especially when AI tools like Copilot surface files without context or review.

Access chaos across Microsoft 365

Without scoped provisioning and role-based governance, Copilot and connected agents can gain access to documents, chats, emails, or systems they shouldn’t. Lacking visibility and traceability, IT teams struggle to understand who has access to what and why.

License waste and unclear usage

Microsoft Copilot licenses add cost on top of existing M365 plans. Without visibility into usage and assignment, organizations risk overspending on unused or unassigned licenses.

Emerging collaboration tools without oversight

New tools like Loop and Planner and more are increasingly embedded in daily workflows. Without governance, these components can introduce inconsistencies, miscommunication, and compliance gaps across projects.

How Rencore solves Collaboration governance challenges in Microsoft 365

Rencore brings enterprise-grade governance to every corner of your Microsoft-powered collaboration landscape. With full control over Teams, SharePoint, OneDrive Copilot actions and more.

Ensure easy and safe collaboration in Teams

Over time, an ungoverned Teams environment will accumulate teams, channels and guest users that are no longer active or relevant. Monitoring and managing your teams structure and guest users ensures a clutter-free collaboration experience and maintains data privacy and security in your tenant.

Comparing suites for this at enterprise scale? Our side by side look at AvePoint alternatives for Microsoft 365 governance covers how inventory, policy enforcement and lifecycle automation differ across the options.

Control content sprawl and secure data

Effectively govern SharePoint and OneDrive to manage storage capacities, access permissions, and prevent information oversharing from users and AI instances. Assess your SharePoint and OneDrive security and risk posture and remediate any violations against governance best practices.

Teams that arrive here from a SharePoint migration project often weigh their existing tooling first. Our comparison of ShareGate alternatives for Microsoft 365 governance sets out the difference between a migration and reporting toolset and continuous governance of the estate afterwards.

Keep control of your Copilot license costs and active usage

Microsoft Copilot comes at extra cost on top of your acquired M365 licenses and varies from E3 to E5 and everything in-between. Rencore Governance identifies unused licenses and uncovers unassigned licenses allowing you to redistribute and manage cost.

The native portals report each service on its own. Our comparison of Microsoft admin center alternatives explains where the built-in admin centers stop, and how Rencore complements and extends them with one inventory across services, ranked by risk and cost.

Microsoft 365 collaboration FAQs

Which Microsoft 365 services can Rencore Governance see?

The Digital Workplace module covers Microsoft 365, Teams, SharePoint, OneDrive, Exchange, Planner, Viva Engage and Entra ID today, with Intune coming soon. Everything lands in one inventory, so you can answer who created a workspace, who can reach it, what data it holds and who owns it without opening a separate admin center for each service. Coverage beyond Microsoft is on the roadmap, not generally available.

How is this different from the Microsoft 365 admin centers, Purview and Entra?

It complements and extends them. The native portals report each service on its own and stop at the service boundary. Rencore Governance puts one inventory across services in front of you, ranks what it finds by risk and cost, then acts on it through policies, owner approvals and automated remediation. Purview keeps classifying and labelling your data, Entra keeps identity, and Rencore makes what they produce visible and enforceable across the whole collaboration estate. Our Microsoft admin center alternatives comparison sets out where the built-in portals stop.

How do we stop oversharing before Copilot surfaces it?

Start with the sharing picture. Rencore Governance inventories permissions and sharing across SharePoint, OneDrive and Teams, and flags the patterns that put content in front of the wrong people: site collections carrying no sensitivity label, content shared with external users, and access that has grown well beyond its original purpose. Each finding is ranked by severity and routed to the workspace owner to confirm, or handled by an automated cleanup workflow, so the content is corrected before Copilot indexes it.

What happens to inactive teams, sites and guest accounts?

They surface as lifecycle findings instead of quietly accumulating. Rencore Governance reports teams and site collections nobody has opened for the period you define, guest accounts with pending or expired invitations, and workspaces left without an active owner. The owner is asked to confirm before anything is archived or removed, and the decision is recorded, so a clean-up round stands up to an audit afterwards.

Can we see which Microsoft 365 and Copilot licences are actually used?

Yes. Microsoft 365 Copilot is charged on top of your existing Microsoft 365 licences, so an unused seat is pure cost. Rencore Governance reports which licences are assigned, which are unassigned, and which sit with accounts that are disabled or have not signed in, so you can redistribute seats before buying more. The same reporting covers SharePoint and OneDrive storage, which is where cost tends to leak next. There is more detail on managing Microsoft 365 costs.

Where does our data live, and which certifications does Rencore hold?

Rencore is a German company and Rencore Governance runs on Microsoft Azure. Data handling, processing and storage meet GDPR requirements, and Rencore is certified to SOC 2 Type 2, ISO 27001:2022, and ISO 27017. The audit reports behind those certifications are available to your security team on request.
